Report an incident

If a child gets hurt or something goes wrong, log an incident in the care log so the parent is told right away.

Before you start

An incident report is saved for good. You can't change it after you submit it, so take a moment to get the facts right.

Log an incident

  1. Open Bookings (left sidebar on a computer, bottom tab bar on the phone app).
  2. Tap the child's booking, then tap Care Log.
  3. Tap Add entry.
  4. Tap Incident. It is the red tile at the end of the list.
  5. Choose the Severity:
    • Minor: a small bump or scratch.
    • Moderate: the child needed first aid.
    • Serious: the child needed medical attention.
  6. Under What happened, describe the incident. Stick to the facts.
  7. Under Action taken, write what you did, for example first aid you gave or a call to the parent.
  8. If it helps, tap Add a photo to attach a picture.
  9. Tap Submit incident report.

Both What happened and Action taken are required.

Who is told

  • The parent gets a notification as soon as you submit the report.
  • For a Moderate or Serious incident, DropIn treats it as an urgent update. The parent is also contacted by email and, if they allow texts, by text message.
  • For a Serious incident, the DropIn team is also notified.

Where to find it later

The incident shows in the child's care log with its severity and details. The Daily summary at the top of the care log shows the number of incidents for the day in red.
